BetterDocs is a WordPress knowledge base and documentation plugin from WPDeveloper that runs first party inside the site own WordPress installation. Its optional Analytics, Instant Answer and live Search features record documentation searches, article views and helpfulness votes, setting cookies in the visitor browser and logging search queries that can be personal data. BetterDocs is a knowledge base and documentation plugin for WordPress developed by WPDeveloper. It lets site operators build a searchable help centre with categorised articles, an instant answer widget and a live search box, all served first party from the site own WordPress installation. The core documentation display renders as ordinary WordPress content, while optional features add search, analytics and reporting on how visitors use the help centre.
The plain knowledge base display does not need to track visitors, but the optional Analytics, Instant Answer and live Search features do. When these are enabled, BetterDocs records the documentation searches a visitor types, the articles they view and the helpfulness votes they cast, and it stores these interactions in the site own WordPress database. To attribute searches and votes and to avoid counting the same interaction twice, BetterDocs writes cookies to the visitor browser. Logged search queries can reveal what a person was looking for and, combined with other data, can amount to personal data.
The search logs, view counters and helpfulness votes that BetterDocs Analytics collects relate to identifiable visitors and are therefore personal data under the GDPR. Writing and reading cookies on the visitor device to support these features falls within Article 5(3) of the ePrivacy Directive, which the CNIL in France under the TDDDG, the German authorities under the TDDDG and the AEPD in Spain under the LSSI CE all enforce as a strict prior consent obligation for non essential trackers. Because the plugin runs first party, the site operator is the controller for this processing.

Consent is required before the BetterDocs analytics and search tracking features set their cookies, because they are not strictly necessary for a visitor to read the documentation. A transfer arises only where the site operator enables the optional Google Analytics integration, which forwards documentation events to Google LLC, a United States based company. In that case European visitor data leaves the site own infrastructure and the transfer must be covered by the EU Standard Contractual Clauses within the Google data processing terms, together with a documented Transfer Impact Assessment in line with the Schrems II ruling. If the integration is left disabled, BetterDocs does not send data outside your own hosting.
Keep the plain knowledge base display cookieless and gate the BetterDocs Analytics, Instant Answer and search tracking features behind your consent management platform so their cookies fire only after the analytics category is accepted. Describe BetterDocs in your cookie policy, including the cookies it sets and their lifetime, and explain that documentation searches are logged. Apply the shortest workable retention to the search logs and analytics counters in your WordPress database. If you enable the Google Analytics integration, disclose the transfer to the United States and complete a Transfer Impact Assessment, and leave the integration off where it is not needed.

Document the cookies set by the analytics and search features, the search queries logged in the WordPress database, the article view and helpfulness vote counters, the retention applied to these logs and, where the Google Analytics integration is enabled, the transfer of documentation events to the United States.
